Construction crew on a commercial job site, the kind of company that needs accounting construction software

Shopping for accounting construction software is mostly a sorting problem. There are dozens of products, every one of them claims job costing, and the sales demos all look good on a clean sample company. What you actually need to know is which handful of systems fit a company your size, doing your kind of work, and what each one will make you give up.

I ran three restoration companies over 14 years, and learned the hard way that the wrong system costs you twice: once in the subscription and again in the cleanup when it does not fit how your jobs run. This post puts eight main options in one comparison table, then covers who each fits and where it falls short. Product details were checked against vendor sites in November 2026. Pricing is left out because most of these products are quoted per company.

If you already run QuickBooks and want to get more out of it before you shop, start with our guide to QuickBooks for contractors: setup, job costing and AR.

KEY TAKEAWAYS

What to compare in accounting construction software

Generic accounting software tracks money by account. Construction accounting tracks it by job, phase and cost code, and handles the odd ways contractors bill and get paid. These are the things that separate the products:

What to compareWhy it matters on real jobs
Job costing depthCan it track cost codes, phases and cost types (labor, material, sub, equipment), committed costs from POs and subcontracts, and budget vs actual while the job is still open?
Progress and AIA billingPay apps on G702/G703 style forms, schedule of values, stored materials and change orders flowing into the next billing.
RetainageRetainage receivable on your invoices and retainage payable on your subs, tracked separately and released correctly.
PayrollCertified payroll, prevailing wage, union fringes and multi-state labor. If you do public work, this alone can decide the product.
WIP and revenue recognitionA work in progress schedule your bonding agent and CPA will accept, with over and under billings.
Subcontractor complianceLien waivers, insurance certificates and payment holds tied to the AP process.
DeploymentCloud, hosted or on-premises. This decides who maintains it and how your field and office staff get to it.
IntegrationsProject management (Procore, Buildertrend), payroll, estimating and receivables tools. A clean sync saves hours a week.

If you are not sure where your company sits on any of these, our post on accounts payable vs accounts receivable is a useful refresher on how money moves through the two sides of the books.

Accounting construction software comparison table

Here are the eight options in one view. "Best fit" is a starting point, not a rule. Plenty of small contractors run Foundation, and some large ones still run QuickBooks with a stack of add-ons.

The 8 options in detail

Below is what each product actually does well, based on vendor pages and release notes I checked this month, plus the trade-offs I would want to know about before signing.

SMALL CONTRACTORS

1. QuickBooks Online (Plus and Advanced)

Most small contractors start here: your bookkeeper knows it and nearly every construction tool syncs with it. Job costing lives in Projects, which is only on the Plus and Advanced plans.

The big change this year is on Advanced. Intuit's Fall 2026 release notes describe estimating, job costing and billing in one workflow, change orders that update costs and invoices together, AIA-style progress billing, and budget vs actual and WIP views on open jobs. Intuit also launched a construction edition of Intuit Enterprise Suite in February 2026 for mid-market contractors.

Best fit: Residential remodelers, restoration firms and specialty trades with a simple job cost structure.

Watch out for: Some construction features are new or labeled beta, so confirm what is live on your plan. Certified and union payroll are not its strength.

SMALL TO MID FIRMS

2. QuickBooks Desktop Enterprise Contractor Edition

For years this was the default "grown-up QuickBooks" for contractors, with reports such as job estimates vs actuals and job profitability, plus progress invoicing from estimates.

It is still capable if your team knows it. The issue is direction of travel: Intuit's new construction features are going into the cloud products, along with guided migration tools for Desktop users.

Best fit: Firms already on Desktop Enterprise that are happy with it and not ready to migrate this year.

Watch out for: Ask about the support roadmap before you commit for several years.

ALL-IN-ONE, ON-PREMISES

3. Sage 100 Contractor

Built around job costing by cost code, phase and cost type, tied to integrated payroll so labor hits the job. It also covers estimating, scheduling, subcontract management, progress billing and service management (service calls, work orders, dispatch).

That service module is why you see it at HVAC, plumbing and electrical shops that do both project and service work.

Best fit: Small to mid-size GCs and specialty contractors who want accounting, estimating and service in one system.

Watch out for: It is on-premises, so someone owns updates and backups. User reviews are mixed, so ask for references from a company your size.

CLOUD, MID-SIZE

4. Sage Intacct Construction

Sage's cloud construction financials. Sage's documentation describes project contracts that generate AIA-style invoices, retainage held and released by contract line, and T&M, fixed price and cost-plus billing.

Sage's 2025 R2 release added automated lien waiver generation for secondary vendors, and it flags expired or missing sub insurance and waivers. Procore lists a connector it built for Sage Intacct Construction.

Best fit: Mid-size and multi-entity contractors with a controller who wants cloud reporting and a clean Procore connection.

Watch out for: Usually implemented through Sage partners, so partner quality matters. More system than a 10-person shop needs.

PAYROLL-HEAVY

5. FOUNDATION (Foundation Software)

Foundation built its reputation on job cost and payroll: certified payroll for prevailing wage and Davis-Bacon jobs, union fringes and deductions, and multi-state timecards. Billing covers AIA, time and material and unit price.

If you do public work, certified payroll decides everything else.

Best fit: GCs and specialty contractors doing prevailing wage, union or multi-state work who want accounting and payroll designed together.

Watch out for: Expect to pair it with a separate project management tool. Confirm deployment options and integrations before you buy.

CLOUD ALL-IN-ONE

6. Jonas Premier

A cloud construction ERP (also marketed as Premier Construction Software) that combines accounting, job costing, AP processing, billing, budgeting and project management.

The appeal is the office and project team in one system instead of syncing two.

Best fit: GCs, developers and home builders that want one cloud platform for both accounting and project control.

Watch out for: Implementation is a real project. Get a written plan for migration, training and go-live.

LARGE CONTRACTORS

7. Trimble Viewpoint Vista and Spectrum

Trimble describes Vista as a highly customizable enterprise ERP for large-scale contractors. Spectrum is its cloud construction ERP, part of Trimble Construction One, and often pitched as quicker to roll out.

Both connect to Procore (Vista through a third-party Ryvit connector).

Best fit: Mid-size to large contractors with complex payroll, equipment, multiple entities and an accounting team big enough to run it.

Watch out for: Heavy systems. Budget for implementation and someone who owns it internally.

GROWING ERP

8. Acumatica Construction Edition

A cloud ERP with construction modules. Acumatica lists AIA G702 and G703 reporting as standard, including released retainage, and it generates and tracks lien waivers and insurance certificates.

As a full ERP it also covers inventory and service.

Best fit: Growing contractors that want one cloud ERP across projects, service and inventory.

Watch out for: Partner-led setup. One user on Acumatica's forum reported one lien waiver per bill, dozens for a single check, so test it against how you pay subs.

Where Procore and Buildertrend fit

These two show up in almost every software conversation, and they confuse buyers because both have "financials" sections. Neither is a general ledger. They are project management platforms that sit on top of your accounting system.

ToolWhat it isHow it connects to accounting
ProcoreConstruction project management for GCs and owners: commitments, change orders, documents, field workERP integrations listed in Procore's help center include QuickBooks Online, QuickBooks Desktop, Sage Intacct, Viewpoint Spectrum and Vista (through Ryvit)
BuildertrendProject management for residential builders and remodelers: schedules, selections, client portal, budgetsSyncs with QuickBooks Online, QuickBooks Desktop or Xero, which hold the books

The practical rule: pick your accounting system first, then confirm the PM tool you want syncs with it cleanly. A bad sync between project management and accounting is where job cost reports go wrong, because the same change order lives in two places with two different amounts.

Bring one overdue invoice.

Whatever accounting system you pick, we will show you how that invoice would be followed up, and what your customer would see.

Which accounting construction software fits your company?

Most companies can narrow eight options to two or three in five minutes. Find the row that sounds most like you.

If your company...Start your shortlist with
Has under 10 people, mostly residential or service work, and a bookkeeper who knows QuickBooksQuickBooks Online Plus or Advanced
Already runs QuickBooks Desktop Enterprise and is not ready to moveQuickBooks Desktop Enterprise Contractor Edition, with a migration plan
Does project work and service calls (HVAC, plumbing, electrical)Sage 100 Contractor, Acumatica Construction Edition
Does prevailing wage, union or multi-state workFOUNDATION, Sage 100 Contractor, Trimble Viewpoint
Runs Procore and has a controller or CFOSage Intacct Construction, Viewpoint Spectrum
Wants accounting and project management in one cloud systemJonas Premier, Acumatica Construction Edition
Has multiple entities, heavy equipment and a full accounting teamTrimble Viewpoint Vista or Spectrum, Sage Intacct Construction

Size is only part of it. A 12-person electrical sub doing public schools has more in common with a 60-person union contractor than with a 12-person remodeler, because certified payroll drives the decision. Sort by how you bill and how you pay people first, then by headcount.

Questions to ask in every accounting software demo

1Show me a job cost report on a job with a change order.
Watch whether the change order updates the budget, the contract value and the next billing without manual entry.
2Bill a pay app with retainage, then release the retainage.
Ask to see both the retainage you hold on subs and the retainage your customer holds on you.
3Run certified payroll on a sample week.
Only if you do public work. If the answer is "we partner for that", find out exactly how the data moves.
4Pay a sub only after a lien waiver and insurance certificate are on file.
See whether the system blocks the payment or only warns you.
5Show the WIP schedule.
Your CPA and bonding agent will rely on it. Ask how over and under billings are calculated.
6Show me what happens after the invoice goes out.
Most accounting systems stop at sending the invoice and recording the payment. Ask how overdue invoices get followed up.

That last question is the one most buyers skip. In my restoration companies, the accounting system was never the reason we were short on cash. Invoices that nobody followed up on were. Our guide on how to reduce late payments in construction covers the habits that fix most of it.

The receivables gap in construction accounting software

Every product in the comparison above can create an invoice and record a payment. None of them is built to chase a homeowner who has gone quiet, text a property manager a reminder, or tell you on Monday morning which invoices nobody touched last week. That work still falls on your office manager, and when the office is busy it is the first thing that slides. An aging report tells you what is late, but someone still has to act on it.

That is the gap AR Workflow fills. To be clear about what it is: AR Workflow is not accounting software. It is not a general ledger, it does not do job costing or payroll, and it does not handle accounts payable. It is accounts receivable automation that connects to QuickBooks Online and handles the follow-up after the invoice goes out:

If you choose QuickBooks Online from this list, AR Workflow sits next to it as the receivables layer. You can see how that works on our QuickBooks collections page or the overview of construction accounts receivable software. For more on running the receivables side well whatever system you use, read construction accounts receivable: a contractor's guide and our walk-through of automated payment reminders.

Frequently asked questions

What is the best accounting construction software for a small contractor?

For most small contractors, QuickBooks Online Plus or Advanced is the practical starting point, because it is cloud based, widely supported and syncs with most construction tools. If you do prevailing wage or union work, look at FOUNDATION or Sage 100 Contractor early, since payroll requirements will decide the fit.

Is QuickBooks good enough for construction accounting?

For many residential, restoration and specialty firms, yes, as long as it is set up with jobs, cost codes and consistent items. It gets strained by complex certified payroll, heavy AIA billing with retainage on many jobs, and multi-entity reporting. Intuit's 2026 construction features on QuickBooks Online Advanced close some of that gap, so check what is live on your plan.

Is Procore accounting software?

No. Procore is construction project management software. It handles commitments, change orders and field documentation and integrates with accounting systems such as QuickBooks, Sage Intacct and Trimble Viewpoint, which keep the general ledger.

What is the difference between Sage 100 Contractor and Sage Intacct Construction?

Sage 100 Contractor is an on-premises system that combines accounting, job costing, payroll, estimating and service management, aimed at small to mid-size contractors. Sage Intacct Construction is a cloud financial system for mid-size and multi-entity contractors, with project contracts, AIA-style billing, retainage and subcontractor compliance features.

Does construction accounting software handle collections?

Not really. These systems create invoices, track what is owed and record payments, but they do not run a follow-up schedule by email, text and voicemail. Most contractors add a receivables tool or assign the work to a person.
