THE PROBLEM

Your accounting software records the invoice. Nobody owns what happens next.

Every invoice past 30 days is money you've earned and haven't collected. Behind each one is a follow-up somebody meant to do.

  • No one is assignedAn invoice without an owner waits. Most offices have no rule for who follows up, when or how.
  • Follow-up is unevenOne customer gets three calls. Another gets nothing for six weeks. It depends on who had time.
  • The aging report is a rearview mirrorBy the time a balance hits the 60-day column, the easy window to collect it has closed.

WHAT IT IS

What is accounts receivable automation?

Accounts receivable automation is software that handles the repeat work of getting invoices paid: reminders, past-due follow-up, payments and posting them to your books, without someone in the office doing each step by hand.

01

The definition

Software that sends reminders, follows up on past-due balances, takes payments and records them in your accounting system.

02

For a contractor

Every open QuickBooks invoice gets a follow-up plan the day it's created, by email, text and voicemail.

03

Your team's part

Customers pay from a link, the payment posts and reminders stop. People step in only for real conversations.

04

The short version

AR automation does the chasing so your office doesn't have to.

INSIDE AR WORKFLOW

Accounts receivable automation, built on QuickBooks Online.

Invoice list showing which invoices are past due and protected

Every open invoice, one list

See what's past due, what's protected, and assign a workflow in a click.

Collections workflow with email, notification and voicemail steps

Workflows you build once

Email, text, voicemail and call steps on a timer. Stops when the invoice is paid.

HOW TO SET IT UP

How to automate accounts receivable in 6 steps.

You don't need a finance team or a six-month project. Most contractors can get the basics running in a couple of weeks.

01

Clean up open invoices

Run the A/R aging report in QuickBooks and close out anything paid, written off or duplicated.

02

Fix contact info

Add who actually pays the bill. On commercial work that's usually AP, not the project manager.

03

Get consent for texts and voicemail

Cover calls, texts and prerecorded messages in your work authorization. Check the wording with your attorney.

04

Build two or three workflows

One for homeowners, one for commercial customers, one for insurance jobs. Not twenty.

05

Put every invoice on a plan

An invoice without a plan is the one that drifts to 90 days. The dashboard calls it Unprotected AR.

06

Review once a week

See which steps get replies and payments, and which get ignored. Adjust wording and timing.

THE DAILY LIST

One list each morning instead of a spreadsheet.

Automation handles the routine touches. Some accounts still need a person, so your team gets a Priority Queue every morning.

  • Ranked for todayRecent activity, engagement, balance age and size, and time since the last touch decide the order.
  • One next step eachWork the list from the top and log what happened. No more guessing where to start.
  • AI drafts, people sendAI writes the email, text or voicemail script. A person reads, edits and sends it. No payment links to adjusters, carriers or attorneys.

BEFORE AND AFTER

Your AR process, before and after automation.

A typical contractor's accounts receivable process has the same five stages. Here's what changes in each one.

01

Invoice

Before: nobody knows if it was opened. After: on a workflow the day it's created, with a payment link.

02

Remind

Before: when someone has time. After: on schedule, by email and text from a dedicated business number.

03

Follow up

Before: sticky notes and a spreadsheet. After: voicemail drops, call tasks and replies on one timeline.

04

Collect

Before: checks and card numbers over the phone. After: card or ACH online, partial payments and plans.

05

Reconcile

Before: typed into QuickBooks by hand. After: payments and fees post automatically.

WHAT A WORKFLOW CAN DO

Eight kinds of steps in one collections workflow.

A workflow isn't just a reminder email on a timer. Most collections software stops at email. Contractors know the real conversation often happens on the phone or by text.

01

Email

Templated emails with QuickBooks merge fields and a payment link.

02

Text message

SMS from a dedicated number. Replies land in a shared inbox.

03

Ringless voicemail

A short recorded message, dropped into voicemail without the phone ringing.

04

Call task

A call on someone's list that day, with the invoice and history attached.

05

Internal note

A note on the customer timeline so the next person knows the story.

06

Status change

Moves the invoice to a new collection status, like disputed or final notice.

07

Team notification

Alerts a manager when an invoice reaches a step that needs a human.

08

Reassignment

Hands the account to a different AR specialist.

IS IT TIME?

Signs it's time to automate collections.

Not every contractor needs AR automation on day one. If two or more of these sound familiar, it's worth a look.

01

The owner still makes collection calls

The person who should be selling and running jobs is chasing invoices.

02

The aging report only comes out when cash is tight

Follow-up is reactive, and the oldest invoices are the hardest to collect.

03

One person holds all the context

If they took two weeks off, would anyone know who promised to pay and when?

04

Customers say they never got it

Missed emails and wrong contacts are a process problem that automation fixes quickly.

05

You've outgrown the spreadsheet

More jobs, customers and open invoices than one person can track from memory.

FAQ

Accounts receivable automation FAQs

Still have a question?

Bring it, and one overdue invoice, to a demo.

What is accounts receivable automation?

Accounts receivable automation is software that handles the routine parts of collecting what customers owe you: sending reminders on schedule, giving customers an easy way to pay, recording payments in your books and showing you which invoices need a person. In AR Workflow, every open QuickBooks invoice goes on a workflow that follows up by email, text and voicemail until it's paid.

Does AR automation replace my office manager or AR person?

No. It takes the repetitive reminders off their desk so they can spend time on the accounts that actually need a conversation. The Priority Queue tells them who to call first.

Will my customers know the messages are automated?

They'll see messages written in your voice, sent from your email account or your dedicated business number. Because you write the templates, they read like the follow-up your office would send anyway.

Do I need QuickBooks Online?

Yes. AR Workflow works with QuickBooks Online and syncs both ways. Each subscription connects to one QuickBooks company. QuickBooks Desktop isn't supported. Our guide to QuickBooks for contractors covers the setup side. See also QuickBooks collections.

Can I automate collections for insurance jobs?

Yes. Workflows can be set up separately for homeowners, adjusters and carriers, and the AI never adds a payment link to messages for adjusters, carriers or attorneys. Our guide to how restoration contractors collect from carriers, adjusters and homeowners walks through the payer mix.

How do I automate accounts receivable in QuickBooks?

QuickBooks Online can send basic email reminders, but it doesn't run multi-step follow-up, texts or voicemail. To automate the full process, connect an AR automation tool like AR Workflow to QuickBooks Online. It pulls in your open invoices, runs the follow-up and posts payments back.

What are the benefits of AR automation for contractors?

Follow-up happens on time even when the office is busy, every open invoice has a plan, customers can pay from a link, payments post to QuickBooks without retyping, and the owner can see where cash stands without asking.

Is AR automation worth it for a small contractor?

If someone in your company spends hours each week chasing payments, or invoices regularly slide past 60 days, it usually is. If you have a handful of customers who always pay on time, a QuickBooks reminder may be enough.

What's the difference between AR automation and a collection agency?

AR automation is your own follow-up, sent in your name to your customers while the relationship is still good. A collection agency takes over badly overdue debts, usually for a percentage. Automation is meant to keep invoices from ever getting that far.

How much does AR Workflow cost?

Plans are $295, $395 and $495 per month depending on how many open invoices and users you have. See pricing for the details. There's no free trial. We set it up with you on a demo instead.

How is this page different from your AR automation software comparison?

This page explains how AR Workflow automates receivables. If you're comparing vendors, our accounts receivable automation software roundup lays out the options side by side.
